Why leads get lost between WhatsApp, CRM and spreadsheets

A customer writes on WhatsApp, calls a manager's mobile or leaves a request on the website. Each channel lives on its own, and the company has no single place where every request is visible. Some leads get lost not because of bad managers but because of how the work is organized.

Where leads get lost

  • Personal phones. The conversation stays in one employee's WhatsApp. When they go on vacation or leave, the history goes with them.

  • Manual copying. A manager has to enter the lead into the CRM by hand. On a busy day it gets postponed and then forgotten.

  • Spreadsheets. Sales has one spreadsheet, the head of the company has another. The data drifts apart, and nobody knows which version is right.

  • No reminders. If a customer doesn't reply, nobody remembers to follow up a couple of days later.

Why another app doesn't help

The first instinct is to buy a CRM and make everyone use it. But if WhatsApp, telephony and the website are still not connected to the CRM, people keep copying data by hand. You end up with more apps and just as much manual work.

What one system looks like

Every channel is connected to one place. A WhatsApp message, a call or a website request instantly creates a customer card. The manager sees the whole history, even if the customer used to talk to a colleague. The system reminds you about customers waiting for a reply, and the head of sales sees the pipeline without separate reports.

Where to start

  1. List every channel through which customers reach you.

  2. See where each lead ends up and who is responsible for it.

  3. Find the places where data is copied by hand: those get automated first.

After that it becomes clear what system to build and what can be handed over to AI employees.
